Thorlux is well known throughout the world and provides a comprehensive range of professional lighting and control systems for architectural, commercial, floodlighting, industrial, hazardous areas, and tunnel applications.
What to expect
As the HR Advisor and Administrator, you will be required to advise both managers and employees across the business. You will be responsible for undertaking the day-to-day administration and advisory for human resources, including recruitment, grievance, capability, disciplinary, absence management, ad hoc reporting, updating departmental systems and supporting the Group HR Manager as and when required.

The role is based in Redditch, Worcestershire you will form part of a team including payroll. There may be on occasions where you will be required to travel to other subsidiaries. Therefore, a driving licence is required.

Key responsibilities

  • Partnering with the business to deliver a high quality and pro-active case management offer on ER issues such as; capability, disciplinary, grievances, absence management, the Equality Act, appeals and flexible working whilst ensuring consistency of decisions across the business.
  • Providing the business with pragmatic innovative solutions whilst considering the employment legal and risk framework
  • Providing coaching to managers to up skill and support them to reach positive outcomes with their employees.
  • Up-skilling and developing line managers and working with the Group HR Manager to develop, deliver and review training material and processes to up-skill line manager capability.
  • Maintaining an effective feedback loop with the Group HR Manager
  • Escalate high risk cases to Group HR Manager as and when appropriate.
  • Building relationships across the business to obtain support when formal meeting support is required.
  • Managing all cases in line with GDPR regulations.
  • Contributing to team development through the sharing of best practice and lessons learnt
  • Support the progress of ET’s, COT3’s and settlement agreements liaising with ACAS and solicitors as necessary.
  • Monitoring, reviewing, and updating all HR policies and ensuring these are in line with current legislation.
  • Ensuring the current data systems are up to date and effective training is implemented for managers.
  • A great advocate for engagement across the business.
  • Responsible in ensuring onboarding is processed, by creating starter packs, initiating the payroll process which involves accurately inputting salary details and contract information.
  • General administration to the HR Department
  • Administration of all aspects of the leaver processes including voluntary severance schemes, retirement, employment references and arranging exit interviews
  • Maintain and update the relevant systems including employee records, the organisational structure, and other details:
  • Administration of all aspects of the recruitment and selection process including advice to manager on recruitment campaigns and advertising media:
  • Act as a first point of contact for HR queries from staff from all areas of the business
  • Co-ordination of the employment clearance process for all new staff and authorised personnel to support safer recruitment.
  • New hire administration – offer letters and contracts.
  • Creating LinkedIn content and management of Company website and social media to reflect our vacancies.

Person Specification
* Minimum of 3 years employee relations experience
* Strong knowledge of Employment Law.
* Excellent verbal and written communication and influencing skills and ability to hold challenging conversations in a way which leads to the desired outcomes.
* Highly organised and self-motivated with good attention to detail.
* Customer focused and service oriented.
* Experience of managing and prioritising own workload in a high volume, demanding environment with changing priorities.
* Able to deal with highly confidential information discreetly.
* Works with pace and accuracy, staying focused on the detail.
* Able to work in a sensitive and diplomatic manner, whilst remaining confident and resilient.
* Team driven and able to drive consistency across the team.
* Able to build relationships effectively both face to face and over the telephone.
* Excellent coaching skills and effective questioning techniques.
* Full or part CIPD recognised qualification is desirable.
* Excellent Microsoft skills particularly excel.
* Mental Health First Aider desirable.

Reports to: Major Projects Manager

Job Summary
The purpose of the role is to have full accountability and responsibility for managing and delivery of project works on time and to budget. Be responsible for generating and delivering a variety of project work on our customer sites.

Main Responsibilities:
* Identify and generate project opportunities.
* Supporting the Business Development team in liaising with key stakeholders on their requirements and explain feasibility of their schemes to become a trusted advisor.
* Work with Business Development, designers and sub-contractors to define and document scope(s) of work(s).
* Develop and understand the full scope of works in line with the desired project business case and in turn outcome. This is to be within agreed budget requirements and required profit margins.
* Manage, run and draw up tenders on behalf of the customer as required with the Thorlux supply chain. Carry out full tender analysis of all sub-contractor returns.
* Be the key interface between all internal departments to ensure the smooth delivery of the installation.
* Work within the current CDM legislation and the respective duties to the role assigned.
* Identify, reduce and manage all statutory and commercial risks associated with the project they are leading.
* Ensure detailed look ahead surveys are carried out in preparation for mobilisation.
* Ensure Thorlux QHSE practices and processes are fully embedded in each project.
* Ensure full compliance with project management policies and procedures.
* Manage the day-to-day operational aspects of the project(s) “end to end”. Activities to include but not be limited to estimating, business development, surveying, sub-contractor management and site manager duties.
* Direct line management responsibility for a site based project supervisor.
* Ensure customer acceptance is adhered to, in writing and in line with the project plans.
* Mutually agree payment schedules and applications for payment to the benefit of the project and the business.
* Ensures project documents are complete, current and appropriately stored.
* Provide timely monthly reports to the Major Projects Manager in an agreed format.

Business Development:
* Support the BD team to Identify and develop a short/medium and long term pipeline of Project opportunities from the portfolio of customers within Thorlux. Leverage opportunities through visibility and presence on customer sites.
* Liaise with colleagues to determine and identify project opportunities. Use case studies to promote business and host key decision makers on show site tours.

Building Relationships:
* Build strong effective working relationships with our customers, site teams and internal departments.
* Build a pipeline of supply partners and carry out supplier management with the correct approvals in conjunction with the central procurement team.

Commercial Awareness:
* Full accountability for the P&L on each project.
* Ensure that all financial objectives are met.
* Analyse variances and initiate corrective actions.
* Value all sub-contractor accounts and make application for payments.
* Ensure the projects achieve their financial goals and satisfy the commercial terms of the contract.
* Ensure all projects are managed through company policies and procedures in relation to commercial activities.

The Project Process:
* Define and understand the scope of work to meet the customer’s specification.
* Competitively price installation elements of the works whilst returning expected profit margins.
* Review all pre construction information and implement a construction phase plan.
* Engage with sub-contractors under the correct commercial terms.
* Define the project plan and programme to deliver the works.
* Appraise all sub-contractor RAMS to make sure that they are suitable and sufficient.
* Be in attendance on site for the works inclusive of any out of hour’s requirements.
* Set up the QHSE processes and make sure they are monitored.
* Ensure all variations to the works are captured, costed and claimed for.
* Make sure all O&M manuals are complete and available prior to practical completion.
* Close out all final accounts with both the customer and all those in the supply chain inclusive of project debt management.

Decision Making/Budgetary Control
* The post holder has full responsibility and financial control of the projects within their control.
